How should last-minute seating changes be recorded?

Record whether a guest was added, removed, renamed, moved, or changed attendance; retain the prior proof; identify both the former and current table; and regenerate every affected card, finder entry, table list, and staff instruction.

Do not edit one card in isolation

A moved guest can affect the old table list, new table list, alphabetical finder, place card, escort card, staff roster, service sheet, and counts. Preserve the owner’s authoritative source outside the browser project and label every assumption that remains unverified.

Keep timing visible

Record the print-lock deadline and proof timestamp so people understand which vendors or artifacts may already be stale. Review the result as production evidence, not as a recommendation or professional approval; the responsible people remain accountable for the decision.

Use calm language

A change register should describe observable record differences rather than assigning blame or guessing why a person’s plans changed. Carry this limitation into the proof and handoff so a fresh recipient knows what changed, what was checked, and what still requires human confirmation.
